A Workshop on Development of File Classification Plans for Institutions, General and Standard File Plans, 25 March 2010

A training workshop on Development of File Classification Plans for Individual Institutions, General and Standard File Plans is to be held at the Belarusian Research Institute of Records Management and Archival Studies on 25 March 2010. The workshop is aimed to introduce and discuss the latest Procedural Guidelines for Creating and Implementing File Plans in Various Institutions adopted by order of the Department for Archives and Records Management of the Republic of Belarus No 23 of 15 July 2009.

The workshop is intended for employees at records management offices, personnel offices, legal departments, and agency archives.

The workshop addresses the following issues:

  • Legal requirements for creating file plans in organisations.
  • Normative, procedural and information basis for creating file plans.
  • Purpose, types and functions of file plans.
  • Preparatory work for creating a file plan in an organisation.
  • Procedures of creation, signing and confirmation of file plans in an organisation and its internal divisions.
  • Schemes (principles) for creating file plans.
  • Creation and systematisation of file titles in a file plan.
  • Rules for file indexing.
  • Files retention scheduling.
  • Function, procedures and specifics of creating and completing general and standard file plans.
  • The participants at the workshop are E.N. Davydova, head of the division of records management and the formation of the National Archival Holdings at the Department of Archives and Records Management of the Republic of Belarus, A.E. Rybakov, director at the Belarusian Research Institute of Records Management and Archival Studies, and A.N. Sukach, head of the documentation division at this Institute.
