Archivists from the Zonal State Archives in Molodechno held a seminar on document value assessment and transfer for storage

Specialists from the Zonal State Archives in Molodechno held a scheduled event for employees of the State Educational Institution «Molodechno Specialized Boarding School». The working meeting focused on current issues related to the organization of document preparation for permanent storage at the state archives.

The seminar was led by Ilona Gerasimovna Kutas, Head of the Department of Records Management and Formation of the National Archival Fund at the Zonal State Archives in Molodechno. She explained the methodology for determining document retention periods based on current Lists, discussed the criteria for selecting documents for permanent storage, the procedure for organizing documents, and compiling file inventories, including personnel records.

In the practical part, participants were introduced to the regulated sequence of document preparation for state storage:

– document assessment and selection based on value criteria;
– document systematization in files;
– file creation, preparation of inventories of permanent storage files and personnel files;
– transfer of prepared documents to the archive.

The issue of organizing the selection of documents with expired retention periods for destruction was also discussed: the procedure for preparing reports, requirements for the write-off procedure, and measures to prevent violations in the field of archival affairs and records management.

Carrying out such activities is part of the Zonal State Archive’s planned work on methodological support for acquisition sources. This ensures high-quality and timely replenishment of archival collections and the preservation of documents of historical, national, and civil significance.
