Conducting a seminar at the institution “State Archives of the Mogilev Region”

On September 27, 2023, at the institution “State Archive of the Mogilev Region” archivists of the acquisition department of the National Archival Fund and records management held a seminar on the topic “Archival legislation of the Republic of Belarus at the present stage (with amendments and additions)” with the invitation of representatives of organizations , which are sources of acquisition of the state archive.

The seminar was attended by specialists from the documentation support service of the management (DOU), chairmen of the EC and persons responsible for the archive, the Committee on Architecture and Construction of the Mogilev Regional Executive Committee, the Department of Sports and Tourism of the Mogilev City Executive Committee, the Department of Culture of the Mogilev City Executive Committee, the Mogilev District Executive Committee, the educational institution “Mogilev State School” Olympic Reserve”, State Specialized Educational Institution “Mogilev Regional Center of Olympic Reserve for Equestrian Sports and Modern Pentathlon”, State Specialized Educational and Sports Institution “Mogilev Regional Center of Olympic Reserve for Athletics and Team Sports”, State Educational Institution “Secondary School No. 1 Mogilev”, OJSC “Mogilev Ice Cream Factory”, OJSC “Bakery and Confectionery Company “Domochai”.

For the participants of the seminar, issues related to changes in the normative legal acts of the Republic of Belarus regulating archiving and record keeping were covered: organizational and legal support for the organization’s archive, the procedure for developing, agreeing and approving the nomenclature of the organization’s files, the procedure for conducting an examination of the value of documents, preparing and transferring files to the archive organizations, the procedure for destroying documents and files that are not subject to storage, requirements for archive premises of organizations and a number of other topical issues.

In the “Question-Answer” section, issues related to the work of the expert commissions of the present organizations, the organization of electronic document management and the implementation of the AIS “Departmental Archive”, the development of local legal acts regulating office work and the work of the archive, provided for by the legislation of the Republic of Belarus, the timely implementation of scientific and technical documentation of documents and ensuring their safety.

To consolidate the information with the seminar participants, tests were conducted on the topic of the seminar.

The head of the department of accounting and ensuring the safety of documents of the state archive gave a tour of the archives and told the seminar participants about the organization and conditions for ensuring the safety of documents.

Representatives of organizations were also familiarized with the process of document digitization.
